Once a retail HSA application is sent or started in person, you can track its progress from the HSA Dashboard until the account opens.
Who can do this
Almost all roles can send or track a retail HSA application, but your role determines which divisions you can do this for and which application details you can view.
Role | What they can do for retail HSA | What they can't do for retail HSA |
Partner admin | Manage organizations and staff across the partner. Send or start applications, track them, and view opened accounts in the designated retail HSA organization and its divisions. |
|
Organization group admin | View opened accounts in retail HSA organizations within their assigned group. | Cannot send or start applications or open the Sent Applications page. |
Organization admin | Manage the retail HSA organization, including its divisions, staff, and settings. Send or start applications, track them, and view opened accounts across its divisions. |
|
Division admin | Send or start applications, track them, and view opened accounts in assigned divisions. Manage admins, members, and settings in those divisions. | Cannot add new divisions to the designated retail HSA organization. Can't view the submitted application or the reason for a Pending or Denied status. |
Organization or division agent | Send application invitations and help customers apply in person. Track applications and view opened accounts in the organization or divisions where they have access. | Cannot view the applicant’s submitted information or the reason for a Pending or Denied status. |
About agents
The agent role was created to support the retail HSA benefit program. They should only be created for an organization or division assigned to a retail HSA program. Agents have limited access to other admin tools, including benefit funding, organization banking, and payroll.
Getting to the retail HSA Dashboard
Tracking retail HSA applications starts from the HSA Dashboard.
Division admins, agents, and organization admins: Select HSA Dashboard from the navigation menu.
Partner admins: Select Organizations, choose the Retail HSA organization, then select the HSA Dashboard tab.
How to track retail HSA applications
Organization and partner admins
Select Sent Applications to view applications across statuses. Use the Accounts table to view opened HSAs across the retail HSA organization and its divisions.
Organization group admins
Organization group admins can view opened accounts in retail HSA organizations within their assigned group, but cannot view individual applications. In the Applications table, search by full name, email, or application number and filter by date range or status.
Agents and division admins
Use the Applications table to find applications that have not opened an account. Once an account opens, it appears in the Accounts table. Both tables cover the organization or divisions where you have access.
Retail HSA application statuses
An application's status is one of the following.
Status | Meaning |
Not Started | The application hasn’t been submitted. |
In Progress | The application has been submitted and is awaiting processing. |
Pending | The applicant’s identity needs further review. |
Expired | Each application link works for up to 72 hours. If it expires, the applicant can request a replacement up to three times within 30 days of the original invitation. |
Denied | If the applicant has questions about the decision, direct them to Support. |
How to view retail HSA application details
Select a row in the Applications table to open the application details panel.
Division admins and (organization and division) agents
The details panel shows the applicant’s name and contact information, application and identity verification statuses, application number, date sent, division, sender, and Attribution ID.
For an Expired application, select Send New Application if it’s available. If a replacement invitation was already sent, find the newer application in the Applications table. If 30 days have passed since sending the original invitation, start a new application from the HSA Dashboard.
Some Pending applications offer an option to upload supporting documents. Agents and division admins can’t view the submitted application or the reason for a Pending or Denied status.
Organization and partner admins
After an application is submitted, the details panel lets you review:
Details panel field | What it shows |
Application | The applicant’s submitted information and status. For a Pending or Denied application, it shows the reason when one is available. Internal Details lists the division, admin, and Attribution ID. |
History | A timeline of events, such as when the invitation was sent or the application was submitted. It shows who took each action when that information is recorded. |
Documents | Supporting documents you can upload or review when this option is available for a Pending application. |
Not Started or Expired applications
For Not Started or Expired applications, the details panel shows the applicant and invitation details instead.
