Manage a retail HSA program

Learn how to manage your retail health savings account (HSA) program, including setting up divisions and staff access.

A retail HSA program enables customers to directly apply for an HSA. Retail HSA programs use one designated organization from which you can create divisions for teams or locations, track applications by division, and assign staff access to one or more divisions.

Find the retail HSA organization

  • Select Organizations.

  • In the Active Programs column, find the organization marked Retail HSA, then open it.

Contact support

If you can't find your Retail HSA designated organization, contact Support before adding divisions or staff. Creating another organization or an HSA benefit does not enable retail HSA applications.

Only for retail HSA

Your designated retail HSA organization should only be used for retail HSA. Do not assign other benefits to your retail HSA organization.

Account Admins

Every application is associated with a division and an admin or agent. You can also add an optional Attribution ID when sending or starting an application if you need another internal tracking reference.

Add a division

Create a division when a team or location needs its own application tracking or staff access.

  • In the retail HSA organization, select Divisions, then Add New Division.

  • Enter the division name and address. A phone number and employer identification number (EIN) are optional. Use Same Contact Information as Parent Organization copies the parent’s address and phone number, but not its EIN.

  • Review the details and select Confirm New Division.

After creating the division, find it in Organizations and check that Retail HSA appears under Active Programs. Open the division and confirm that its HSA Dashboard is available before staff send applications.

About agents

The agent role was created to support the retail HSA benefit program. They should only be created for an organization or division assigned to a retail HSA program. Agents have limited access to other admin tools, including benefit funding, organization banking, and payroll.

Add an agent or admin

Choose where the person needs access before you add them. Open the retail HSA organization for access across all its divisions. To limit access, open one of the divisions they need instead.

  • Select Account Admins, then Add Account Admin.

  • Enter the person’s first name, last name, and email address.

  • In the Role menu, select Agent or Admin.

  • If you started from a division and the person needs access to others, select Add Another Division and choose those divisions.

  • Review the role and division access, then confirm.

People you add receive an email with instructions to access their account. After signing in, Agents see HSA Dashboard, Members, and Support.

If Agent is missing from the Role menu, check that you opened the designated retail HSA organization or one of its enabled divisions. Contact Support if the option is still missing.

Review staff access

Use Account Admins to review each person’s role and assigned divisions. You can’t edit an agent’s division assignments in the division assignment panel. If you need to change or remove Agent access and the action is unavailable, contact Support.
